1. Aim of the Coaching Agreement
The Coaching Agreement (The Agreement) provides clarification regarding the relationship, expectations and the integrity of the coaching relationship.
2. Definition of Coaching
Coaching is a process where the coach partners with the client in a thought-provoking and creative way that inspires the client to maximise their personal and professional potential.
3. Scope of Coaching
Coaching is a developmental partnership that supports the Client to think for themselves, find clarity and move towards their own goals. It is not therapy, counselling, or a substitute for professional, medical, legal or financial advice. The Client remains responsible for the choices they make and the actions they take as a result of our work together. Where something arises that sits outside the scope of coaching, the Coach may gently suggest the Client seek the support of an appropriate specialist.
4. Coaching Outcomes
At the outset, the coach will take a brief from the organisation. These discussions form the basis for the initial objective setting for the coaching, which together with mechanisms to be used to measure outcomes, will be confirmed in writing. The coach will work in partnership with the client to clearly define the coaching outcomes. The coaching sponsor will be invited to contribute to the coaching outcomes and to be part of the review process of the coaching programme.
5. Client Commitment
The signature of the Sponsor and the Client indicates commitment by all parties to honouring the terms of the Coaching Agreement. In particular, the Sponsor commits to transparent dealings with all parties and the Client commits to openness to the coaching process.
6. Confidentiality and Feedback
Whilst recognising the need for discretion and confidentiality, objective feedback is considered essential to the Sponsor, the Coach and the Client to review progress. The process for feedback and the parameters of confidentiality will be outlined during the initial meeting with all parties and will take into account all aspects relating to the law, including duty of care. In addition, the frequency and process for feedback will also be agreed at the outset between all parties. All feedback to the Sponsor by the Coach will be discussed and agreed with the Client in advance.
7. Client Privacy
At the start of our work, the Client completes a pre-coaching form, which gives me their name, date of birth, address, email and telephone number. In addition, depending how they contact me, I may have their email address on my computer and/or their email and phone number in my mobile phone. I also keep brief written notes of our sessions. These are hard copy I do not keep notes on my computer. If the Client emails me any completed exercises or reflections these are kept on my computer. All hard copy information is kept securely, and contact details are kept separately from notes. I destroy all pre-coaching forms and separate hand-written notes when we finish our coaching programme. All electronic data is kept on my personal computer and phone, and both are password protected. If the Client would like me to delete any electronic data I hold, I will ask them to let me know. Clients have the right to access any information I keep and can do this by arrangement with me.
8. Fees
The fee for the coaching programme is agreed at the outset plus travel if needed, plus telephone and email exchange in between. Coaching sessions will usually take the form of up to 60-minutes per coaching session. The use and cost of any additional diagnostic tools will be mutually agreed during the programme. Provision is made for preparation and post session activities by the Coach. An invoice for the full amount will be sent at the commencement of the programme, and is payable within 30 days of the invoice date. Travel expenses are recharged at cost. Anything outside travel will be confirmed prior to incurring.
The coaching sessions are usually completed within an agreed period, typically six months from the start of the programme, unless we agree otherwise together.
9. Location and Frequency
The location of each meeting and frequency of sessions will be agreed between both parties prior to each session. Meetings may be held by teams/zoom or in person. Throughout the coaching programme the Client has email and telephone access to the Coach outside of the coaching sessions.
10. Cancellation Policy
The Coach and client will show respect to each other by giving no less than two days’ notice of cancellation of sessions and rescheduling requests. If less than two days’ notice is given by the Client, the session may be deducted from the coaching programme unless the reason for non-attendance is due to the onset of illness, accident or emergency. Non-attendance will usually result in the forfeit of the session. Face to face sessions can be replaced by phone sessions if it is mutually convenient.
11. Ending the Coaching Early
Either the Client or the Coach may choose to bring the coaching relationship to a close before the programme is complete, letting the other know in good time and with respect. Where the Client chooses to end early, the sessions already held, together with any work already prepared by the Coach, remain payable; the balance for any sessions paid for but not yet taken will be re-assigned to another coaching client or returned.
12. Ethics
Jane Adshead-Grant, MCC is a member of and adheres to the Code of Ethics and Practice of the International Coaching Federation. She has regular coach supervision for quality assurance and continual professional development. She has professional indemnity insurance.
13. Governing Law
This Agreement is governed by the law of England and Wales.
